You’re a legal professional, so it’s no surprise that you don’t have time for missed appointments or disorganized notes. A good appointment system can help you keep your schedule organized and ensure that you don’t miss any important meetings. It also lets clients know when they can expect to see you and what to expect from their visit. That way, there are no surprises on either side of the table.
Find new clients with your own booking page
If you are an immigration consultant or lawyer, you can use this time-saving system to book appointments with potential clients from your website. You get more clients, and they have the convenience of booking an appointment directly from your site.
We’ve created a free trial so that you can try it out for yourself before committing to any long term contracts. There are no hidden costs or ongoing fees—we don’t charge anything until after the 30-day trial period is up, at which point we’ll bill based on how many clients have booked using our system (the more people who book through you, the lower your monthly payments).

Send appointment confirmation emails to your clients
Your firm should send out appointment confirmation emails as soon as the client has made a payment. This is a great way to establish good customer service and ensure your clients feel important.
You can also send reminder emails before appointments, or even cancellation emails if they need to cancel their appointment at least 24 hours in advance.
Add buffer time around appointments to make sure there’s no waiting time for you or the client. Deliver a professional service to your clients
It’s important to keep your clients happy. They’re the reason you have a business, after all. You want them to feel like they’ve made the right choice by booking an appointment with you, and that their time with you is valuable and appreciated.
But how do you make sure that happens? By giving them what every client wants: quality service from an expert in their field who knows what he or she is doing.
Delivering a professional service means taking care of your clients’ needs before they even know they have them—and it also means being aware of any issues that could crop up during their time with you so that both parties can be prepared and comfortable throughout their meeting (e.g., “I’ve got this great idea for a new product! Can we talk more about it?”). It all comes down to communication—being able to respond quickly enough so as not to inconvenience either party while still being respectful of everyone’s schedules is key here!
Integrated Google calendar keeps everything in sync.
We use Google Calendar to schedule appointments. It’s free, easy to use, and integrates with our other systems.
We set up a separate Google calendar just for appointments, and we make sure that each client has access to this calendar as well. That way they can easily add new appointment requests when they come in (and you can do the same). If your team is working with multiple clients at once—or if a client is working with multiple teams—you can also add their respective teams’ contacts into the appointment schedule by creating different “schedules” within your main calendar. This makes it easier than ever before for everyone involved in an immigration case to stay on track!
